Access to information and data protection
We appreciate that you may want to know what personal information we hold on our files about you, or general information about our services.
You can request this information by contacting your local area housing office. Please note we charge a £5 for providing copies of information.
When you make a request to view information, we will aim to:
- Show you any personal information we hold about you within 40 days of you providing a written description of the information sought, proof of identity and the payment
- Show you general information we hold about our work and services including performance information and information on policies, procedures, strategies and standards, within five working days of you requesting it
- Be regularly trained on and knowledgeable about the relevant laws covering access to information, including the Data Protection Act which governs access to personal information
- Regularly revise the information we provide on our services by updating this handbook where necessary
- Provide a range of supporting leaflets, produce regular newsletters and continually develop our website
- Offer you access to a range of other information from organisations providing complementary services to our own in our offices
If you wish to request to see the information we hold on you, please fill out this form. You should then take it, together with proof of identity and the £5 charge to your local housing office. If your request is being handled by a third party we need your authorisation to proceed. You will need to fill in the Agent Authorisation Form.
You are only entitled to see a copy of information that is held about you. Information that is exempt under the Act or that relates to other people may be withheld.
Under the Data Protection Act, we may be asked to share information with other agencies including UK government departments and agencies, other public authorities and registered social landlords.
The Freedom of Information Act 2000 doesn’t apply to us because we are not an organisation that has been set up by, or had an appointment to our organisation made by the Crown, statute, a government department, the National Assembly for Wales, or a minister. However, we aim to be as open as possible in everything we do.
